Rho reconciles Bill Pay with QuickBooks Online automatically. When a bill is sent to payments, Rho syncs it to QuickBooks as an open bill, and when the payment goes out Rho pushes the bill payment record and updates the bill's status, so your books match your bank without manual matching.
One-time setup
Connect QuickBooks Online to Rho (see Rho's QuickBooks integration guide).
Head to Accounting > Mapping Rules > Ledgers and select the AP account in QuickBooks that represents your Bill Pay. Do this for every entity that will use AP; toggle between entities in the left-hand navigation.
Optional, for teams that create bills in QuickBooks first: navigate to Bill Pay > Settings, toggle Enable Account Payable from QuickBooks to On, and pick the date from which to sync bills.
How the sync works
Bills, Rho to QuickBooks: when a bill you created in Rho (via the AP Inbox or direct upload) is sent to payments, the full bill record syncs to QuickBooks as an open bill, including accounting attributes and any splits.
Bills, QuickBooks to Rho: with bill sync enabled, open bills created in QuickBooks appear in Rho ready to pay.
Bill payments: Rho pushes the payment record to QuickBooks and automatically updates the corresponding bill to paid, regardless of which direction the bill came from.
Vendor mapping
When you create a vendor in Rho you can either create a matching vendor record in QuickBooks or map to an existing one. Mapped vendors automatically associate transactions to the right record. If a vendor value looks missing, refresh via Accounting > Dashboard > Refresh.
Fixing sync errors
Accounting attributes can be re-synced up until the payment settles.
Key fields (amount, vendor, due date, invoice number) are locked after the first sync. To correct them, edit directly in QuickBooks or void the bill and recreate it in Rho.
